Can it book straight into my practice management software?
Yes. Google Calendar and Microsoft Outlook both work, SmartDental works in production, and we can build a bespoke integration for the booking software you use — tell us which one and we'll tell you honestly how long it takes.
What does it do with a dental emergency?
It's a receptionist, not a clinician: it never diagnoses or gives medical advice. For toothache it offers the nearest free slot and collects what the dentist needs to know (when it started, swelling, fever). If a caller describes something that sounds like a medical emergency — for example facial swelling spreading or trouble breathing — it tells them to call the emergency number and flags the call for your team.
What happens when a patient asks for a person?
It can transfer the live call to your staff, or take a message with name, number and reason and mark it for a callback. You choose which topics always go to a human — complaints, treatment plans, billing disputes, anything you like.
Is it GDPR compliant?
For clinics in the EU and UK we sign a written agreement that includes a data processing agreement (DPA), and you decide whether calls are recorded and for how long transcripts are kept. We have a DPA template and a sub-processor list — ask us and we'll send them.
Will patients be annoyed by talking to an AI?
Listen to the sample call on this page and judge for yourself — it was generated by our production voice stack. The alternative for most after-hours callers isn't your receptionist — it's voicemail, or the clinic down the road. The assistant says it's an AI, keeps calls short and books the patient.
Which languages does it speak?
Polish and English are in production with clinics today, and we've tested real calls in Ukrainian, German, Spanish, Portuguese, Cantonese and Mandarin. Ask us about the languages your patients speak.
How long does setup take?
Often just a few days from our first call — sometimes shorter. We gather your services, prices and rules, set up the assistant, connect your calendar, and you test it before any patient hears it.
Do I need to change my phone number or provider?
No. You forward the calls you can't take — when the line is busy, at lunch, after hours — to your Synthropia number. We walk you through the forwarding settings for your phone system.
Does it send SMS confirmations?
Yes — every booking gets a text-message confirmation, plus a reminder before the visit so fewer patients forget.
Can I see the calls afterwards?
Yes. Every call lands in your dashboard with the recording, transcript and outcome.
