Synthropia

For property management

Tenants call at midnight. Someone finally answers.

Synthropia logs maintenance requests with address and urgency, books viewings for vacant units into your calendar, and escalates floods, lockouts and heating failures to the right number.

Tonight at 21:47

  1. 21:47 A tenant calls: water is leaking under the sink. Your office closed at 17:00.
  2. 21:47 Synthropia answers, takes address, unit and what's happening, and asks for a photo number.
  3. 21:48 Because it's water, it escalates to your emergency line and logs the ticket with the details.
  4. 21:49 The tenant gets a text confirmation with the ticket reference.
  5. 08:00 Your team sees the call, the recording and the ticket in your dashboard.

Why managers drown in calls

Tenants don't call during office hours.

Maintenance never sleeps

Leaks, lockouts and heating failures happen at night and at weekends — exactly when the office is empty.

Every call needs an address

Building, unit, access, urgency — three minutes of facts before anyone can act. Miss one and the technician drives twice.

Vacancies need viewings

Empty units cost every day. Evening callers about viewings can't wait till Monday.

What it handles

The calls your office takes every day

  • Maintenance tickets with address, unit, contact, urgency and description.
  • Emergency escalation — water, gas smell, no heat, lockouts — to your emergency number, with the ticket logged.
  • Viewing bookings for vacant units into real free slots.
  • Rent, fees and process questions from your own information.
  • Text confirmations with ticket reference or viewing details.
  • Contractor-ready notes so the technician arrives knowing what's wrong and how to get in.

What it won't do

Where it stops

  • It doesn't dispatch contractors or promise arrival times you haven't approved.
  • It doesn't give legal or tenancy advice.
  • It doesn't pretend to be human.
  • Disputes, arrears and complaints become a message for your team.

Emergency wording and escalation numbers are set with you during setup.

Run your own numbers

What do missed calls cost your business?

Move the sliders to match your business. Nothing here is our claim — it's your estimate, made visible.

Busy line, lunch break, after hours. Your phone system's missed-call log will tell you.

As opposed to a quick question you'd answer later.

Callers who don't leave a voicemail or call back.

Use a typical first appointment. A new customer is usually worth far more over time, but let's be conservative.

Case study

Real results, when they're real

Our first paying customers are dental clinics. A property-management case study comes once a manager approves it — with real ticket volumes. Not before.

Property management FAQ

What happens with a burst pipe at 2am?
The assistant takes the address and details, tells the tenant what to do right now (e.g. where the stopcock usually is — only if you've approved that wording), escalates to your emergency number, and logs the ticket with the recording attached.
Can it book viewings for vacant units?
Yes — into Google Calendar or Outlook, both work, with listing, time and meeting point confirmed by text message. We can build a bespoke integration for anything else you use.
Does it replace our emergency line?
No — it answers first, sorts routine from urgent, and forwards the urgent ones to the number you choose, with the facts already taken.
How do technicians get the details?
Every call leaves a ticket-style note — address, unit, access, urgency, description — plus recording and transcript in your dashboard.
Which languages does it speak?
Polish and English in production, plus Ukrainian, German, Spanish, Portuguese, Cantonese and Mandarin tested with real callers. Tenant bases are often mixed — ask about your languages.
Is it GDPR compliant?
In the EU and UK we sign a written agreement including a DPA. You control recording and transcript retention. We have a DPA template and a sub-processor list — ask us and we'll send them.
Do we keep our numbers?
Yes. Forward the calls you can't take — after hours, weekends, overflow — to your Synthropia number.
