Synthropia

For accounting firms

It's tax season. Every client call still gets answered.

When everyone's closing books, Synthropia answers, takes the client and document details, books the consultation into your calendar and texts a confirmation.

Tonight at 21:47

  1. 21:47 A freelancer calls: deadline next week, documents half-ready. You left hours ago.
  2. 21:47 Synthropia answers, takes business type, deadline and what's missing.
  3. 21:48 It books Tuesday 14:00, explains the document checklist from your list, and texts the confirmation.
  4. 21:49 The consultation is in your calendar with the intake notes.
  5. 08:00 Your team sees the call, the recording and the transcript in your dashboard.

Why firms miss clients in season

Clients call when you're closing books.

Deadlines bunch every call

Month-end, year-end, tax dates — the phone peaks exactly when nobody has a minute.

Documents need listing

Which papers, which periods, which format — five minutes per caller before you know the scope.

Evenings are freelancers

Small businesses call after their own workday. The firm that answers gets the books.

What it handles

The calls your firm takes every day

  • Consultation bookings into real free slots, with business type and deadline noted.
  • Document checklists explained from your own list.
  • Deadline triage by your rules — nearest deadlines first.
  • Rescheduling so freed consultations get filled.
  • Text confirmations with time and checklist.
  • Existing-client messages taken properly and flagged for the right person.

What it won't do

Where it stops

  • It doesn't give tax or accounting advice.
  • It doesn't quote fees beyond the ranges you've approved.
  • It doesn't pretend to be human.
  • Complaints and liability questions become a priority message for your team.

Checklists and escalation rules are set with you during setup.

Run your own numbers

What do missed calls cost your business?

Move the sliders to match your business. Nothing here is our claim — it's your estimate, made visible.

Busy line, lunch break, after hours. Your phone system's missed-call log will tell you.

As opposed to a quick question you'd answer later.

Callers who don't leave a voicemail or call back.

Use a typical first appointment. A new customer is usually worth far more over time, but let's be conservative.

Case study

Real results, when they're real

Our first paying customers are dental clinics. An accounting case study comes once a firm approves it. Not before.

Accounting FAQ

Does it give tax advice?
No — it's a receptionist, not an advisor. It takes the facts, explains your document checklist, books the consultation, and leaves advice to your team.
How does document intake work?
You define the checklist by case type. The assistant asks what's ready, notes what's missing, and attaches it to the booking so the consultation starts prepared.
Can it book into our calendar?
Yes — Google Calendar and Microsoft Outlook both work, and we can build a bespoke integration for your practice software. Tell us what you use and we'll say honestly how long it takes.
Is client data handled securely?
In the EU and UK we sign a written agreement including a DPA, and you control recording and transcript retention. We have a DPA template and a sub-processor list — ask us and we'll send them.
Which languages does it speak?
Polish and English in production, plus Ukrainian, German, Spanish, Portuguese, Cantonese and Mandarin tested with real callers. Ask about your client base.
Will clients accept an AI?
It says it's an AI, takes the details fast and gets them booked with the checklist. For a freelancer before a deadline, that beats voicemail.
Do we keep our number?
Yes. Forward the calls you can't take — closing, lunch, after hours.
