Synthropia

For law firms

You're in court. New clients still get an answer.

When nobody at the firm can pick up, Synthropia answers, takes the caller's details and matter type, books a consultation into your calendar and texts a confirmation.

Tonight at 21:47

  1. 21:47 A potential client calls about a contract dispute. Everyone left hours ago.
  2. 21:47 Synthropia answers, takes name, number and matter type, and checks your consultation slots.
  3. 21:48 It books Thursday 10:00, explains what to bring, and texts the confirmation.
  4. 21:49 The consultation is in your calendar with the intake notes attached.
  5. 08:00 Your team sees the call, the recording and the transcript in your dashboard.

Why firms lose clients on the phone

New clients call exactly when you can't pick up.

Court, meetings, deadlines

The work that pays is the work that keeps you off the phone. Meanwhile the next client calls the next firm on the list.

Intake takes time

Name, number, matter type, urgency, conflicts — five minutes of questions before you even know if it's your case.

Evenings decide

People call about legal problems after work. The firm that answers first usually gets the consultation.

What it handles

The calls your office takes every day

  • New-client intake — details, matter type and urgency, noted for your conflict check.
  • Consultation bookings into real free slots, with what-to-bring instructions.
  • Rescheduling so freed consultations get filled.
  • Hours, fees process and directions answered from your own information.
  • Text confirmations before the consultation.
  • Existing-client messages taken properly and flagged for the right person.

What it won't do

Where it stops

  • It doesn't give legal advice or assess a case's chances.
  • It doesn't run conflict checks — it collects the details your team checks.
  • It doesn't pretend to be human.
  • Sensitive, upset or high-stakes callers become a priority message for your team.

Intake questions and escalation rules are set with you during setup.

Run your own numbers

What do missed calls cost your business?

Move the sliders to match your business. Nothing here is our claim — it's your estimate, made visible.

Busy line, lunch break, after hours. Your phone system's missed-call log will tell you.

As opposed to a quick question you'd answer later.

Callers who don't leave a voicemail or call back.

Use a typical first appointment. A new customer is usually worth far more over time, but let's be conservative.

Case study

Real results, when they're real

Our first paying customers are dental clinics. A law-firm case study comes once a firm approves it — with the firm's name and real numbers. Not before.

Law firm FAQ

Does it give legal advice?
No — it's a receptionist, not a lawyer. It takes the facts, books the consultation and tells callers what to bring. Anything that sounds like advice becomes a message for your team.
How does intake work?
You define the questions: name, number, matter type, opposing party, urgency. The assistant asks them, notes the answers, and books or flags the call. Your team still runs the conflict check.
Can it book into our calendar?
Yes — Google Calendar and Microsoft Outlook both work, and we can build a bespoke integration for anything else you use. Tell us what it is and we'll say honestly how long it takes.
Is client information kept confidential?
In the EU and UK we sign a written agreement including a DPA, and you control recording and transcript retention. We have a DPA template and a sub-processor list — ask us and we'll send them. We have a DPA template and a sub-processor list — ask us and we'll send them. Tell us your confidentiality requirements on the setup call and we'll configure accordingly.
What if a caller is distressed?
The assistant stays calm, takes the details briefly and escalates to your team as a priority message. You choose which matter types always go to a human.
Which languages does it speak?
Polish and English in production, plus Ukrainian, German, Spanish, Portuguese, Cantonese and Mandarin tested with real callers — ask about yours.
Do we change our number?
No. Forward the calls you can't take — busy, lunch, after hours — to your Synthropia number.
