Synthropia

For medical practices

The AI receptionist for medical practices that answers every call.

When your front desk is checking patients in, at lunch or gone for the day, Synthropia picks up, books the appointment into your calendar and texts the patient a confirmation.

Tonight at 21:47

  1. 21:47 A patient calls to move Thursday's check-up. Your practice closed at 18:00.
  2. 21:47 Synthropia answers, offers Tuesday 8:40 or Wednesday 15:20. The patient picks Tuesday.
  3. 21:48 It confirms the reason for the visit and notes it for the team.
  4. 21:49 The patient gets a text confirmation. The visit is in your calendar.
  5. 08:00 Your team sees the call, the recording and the transcript in your dashboard.

Why practices lose patients on the phone

Your phone is busiest exactly when nobody can pick it up.

Morning rush and lunch

Check-ins, referrals and prescriptions at the desk all happen while the phone rings. Every unanswered call is a patient who calls the next practice.

Repeat visits never stop

Follow-ups, test-result questions and prescription renewals fill the line every day — important, routine, and always at the worst moment.

After-hours worry

Symptoms don't keep office hours. Patients who reach a receptionist at 21:47 stay yours; patients who reach voicemail keep looking.

What it handles

The calls your front desk takes every day

  • New and repeat bookings into real free slots in your calendar.
  • Rescheduling and cancellations, so freed-up slots get filled.
  • Opening hours, referrals and directions — the questions that come up every day.
  • Prescription-renewal and test-result requests logged as messages for your team.
  • Text confirmations and reminders before the visit, so fewer patients forget.
  • Anything urgent flagged immediately — and callers with emergency symptoms told to call the emergency number.

What it won't do

Where it stops

  • It doesn't diagnose, triage clinically or give medical advice.
  • It doesn't make up availability or promise referrals you haven't approved.
  • It doesn't pretend to be human.
  • Complaints, complex referrals and anything clinical become a message for your team.

You set these rules during setup, and you can change them any time.

Run your own numbers

What do missed calls cost your business?

Move the sliders to match your business. Nothing here is our claim — it's your estimate, made visible.

Busy line, lunch break, after hours. Your phone system's missed-call log will tell you.

As opposed to a quick question you'd answer later.

Callers who don't leave a voicemail or call back.

Use a typical first appointment. A new customer is usually worth far more over time, but let's be conservative.

Case study

Real results, when they're real

Our first paying customers are dental clinics. We'll publish a case study — with the practice's name, call volumes and what changed — once we have enough data and their permission. Not before.

Medical practice FAQ

Can it book straight into our practice software?
Today it books into Google Calendar and Microsoft Outlook calendars — both work — and SmartDental works in production. For other medical practice software we can build a bespoke integration — tell us which one you use and we'll tell you honestly how long it takes.
What does it do with an urgent medical call?
It's a receptionist, not a clinician: it never diagnoses or triages. For routine urgency it offers the nearest free slot and collects what the team needs to know. If a caller describes emergency symptoms, it tells them to call the emergency number immediately and flags the call for your team.
Is it GDPR compliant?
For practices in the EU and UK we sign a written agreement that includes a data processing agreement (DPA), and you decide whether calls are recorded and how long transcripts are kept. We have a DPA template and a sub-processor list — ask us and we'll send them.
What happens when a patient asks for a person?
The assistant can transfer the live call to your staff, or take a message with name, number and reason and mark it for a callback. You choose which topics always go to a human — complaints, referrals, billing, anything you like.
Will patients be annoyed by talking to an AI?
The assistant says it's an AI, keeps calls short and books the patient. The alternative for most after-hours callers isn't your receptionist — it's voicemail, or the practice down the road.
Which languages does it speak?
Polish and English are in production today, and we've tested real calls in Ukrainian, German, Spanish, Portuguese, Cantonese and Mandarin — ask us about the languages your patients speak.
Do we need to change our phone number or provider?
No. You forward the calls you can't take — when the line is busy, at lunch, after hours — to your Synthropia number. We walk you through the forwarding settings.
