Synthropia

For veterinary clinics

Your clinic closes at six. Pet owners keep calling.

While your team has its hands full with animals, Synthropia answers, books the visit into your calendar, notes the symptoms for the vet and texts a confirmation.

Tonight at 21:47

  1. 21:47 A worried owner calls: their dog has been vomiting since the afternoon. You closed at 18:00.
  2. 21:47 Synthropia answers, books the first slot tomorrow and notes breed, age and symptoms.
  3. 21:48 Because it sounds urgent, it also gives your out-of-hours number and what to watch for overnight.
  4. 21:49 The owner gets a text confirmation. The visit is in your calendar with the notes.
  5. 08:00 Your team sees the call, the recording and the symptom notes in your dashboard.

Why clinics lose clients on the phone

Worried owners don't wait for opening hours.

Hands full, phone ringing

A dog on the table, a cat in the waiting room — and the phone. Every missed call is an owner who tries the next clinic.

Symptoms need noting

"Since when?", "How old?", "Vaccinated?" — the same questions every time, best asked before the visit, not during it.

Evenings sound urgent

An owner can't tell routine from emergency at 22:00. Someone has to answer, sort it, and point to the right number.

What it handles

The calls your team takes every day

  • Visit bookings into real free slots, with species, breed and reason noted.
  • Symptom notes for the vet — since when, what changed, vaccination status.
  • Vaccination and check-up reminders booked before the owner forgets.
  • Prices, hours, directions answered from your own list.
  • Text confirmations so owners show up with the right papers.
  • Emergencies given your out-of-hours number immediately, with the call flagged for your team.

What it won't do

Where it stops

  • It doesn't diagnose animals or give veterinary advice.
  • It doesn't decide what is and isn't an emergency — urgent-sounding calls get your emergency number plus a flag.
  • It doesn't pretend to be human.
  • Billing disputes and end-of-life conversations become a message for your team, handled with care.

You set the emergency wording and escalation rules during setup.

What do missed calls cost your business?

Move the sliders to match your business. Nothing here is our claim — it's your estimate, made visible.

Busy line, lunch break, after hours. Your phone system's missed-call log will tell you.

As opposed to a quick question you'd answer later.

Callers who don't leave a voicemail or call back.

Use a typical first appointment. A new customer is usually worth far more over time, but let's be conservative.

Case study

Real results, when they're real

Our first paying customers are dental clinics. A veterinary case study — with the clinic's name and call volumes — comes once a vet practice approves it. Not before.

Veterinary FAQ

What does it do with a possible emergency?
It's a receptionist, not a vet: it never diagnoses. It books the nearest slot, notes the symptoms, gives your out-of-hours or emergency number, and flags the call so your team sees it first in the morning — or immediately, if you set up notifications.
Can it book into our practice software?
Today it books into Google Calendar and Microsoft Outlook calendars — both work — and we can build a bespoke integration for your veterinary software. Tell us which one you use and we'll say honestly how long it takes.
Will owners accept talking to an AI about their pet?
The assistant says it's an AI, keeps the call short and gets them booked with notes ready for the vet. For most after-hours callers the alternative is voicemail — while they're worried about their animal.
Which languages does it speak?
Polish and English in production today, plus Ukrainian, German, Spanish, Portuguese, Cantonese and Mandarin tested with real callers. If your clients speak other languages, ask.
Does it take messages for the vet?
Yes — it can transfer the live call to your staff, or take a message: name, number, animal, reason — flagged for callback. You decide which topics always go to a human.
Is it GDPR compliant?
In the EU and UK we sign a written agreement including a data processing agreement (DPA). You decide whether calls are recorded and how long transcripts are kept. We have a DPA template and a sub-processor list — ask us and we'll send them.
Do we keep our number?
Yes. You forward the calls you can't take — busy line, lunch, after hours — to your Synthropia number. We help with the forwarding settings.
